Import and export contacts

Upload a CSV, TXT or Excel file to a SendCoop list, map columns to fields, choose how duplicates are handled, and export contacts to CSV.

Bring your contacts from another tool or a spreadsheet in a few steps. SendCoop matches each column to a list field, and you decide what happens to people who are already on the list.

Before you start

  • Only import people who agreed to receive email from you.
  • Save your file as CSV (UTF-8 is best), tab-delimited TXT, or Excel (.xlsx).
  • Put column names in the first row and one contact per row.
  • You need an email column. That is how SendCoop recognises each contact.
  • Optional: a column named tags (tags separated by commas) and a column named status (subscribed, unsubscribed or unconfirmed).

Import a file

  1. Click Audience, open the Lists tab and open your list.
  2. In the list menu, click Subscribers, then Import.
  3. Click Start import.
  4. Upload CSV: drag your file onto the box, or click to browse. Click Next: Map fields.
  5. Map fields: for each column, choose Map to existing field and pick a field, or choose Create new field, give it a Field name and a type (Text, Number, Date, DateTime or Textarea), then click Done. The Email field must be mapped, and each field can only be mapped once. If special characters look wrong, change the File encoding. Click Next: Settings.
  6. Settings: under Duplicate handling, choose what happens when an email is already on the list:
    • Update existing subscribers (the default): refreshes the mapped field values. Status and tags stay as they are, unless you also tick Also overwrite status… or Also overwrite tags…. Those boxes only work if your file has a status or tags column.
    • Skip existing subscribers: only adds new emails and leaves existing contacts alone.
  7. Click Start import.

Large files import in the background. You can leave the page and come back. When the import finishes, click Download log to see what happened to each row. Past imports are listed under Recent imports.

Add one contact

  1. Open the list, click Subscribers, then Add.
  2. Fill in the fields. EMAIL is required.
  3. Click Add subscriber.

Contacts you add by hand are added as Subscribed. To tag them, open the contact afterwards. See Tag your subscribers.

Export contacts

  1. Open the list, click Subscribers, then Export.
  2. Choose Export entire list, or Export a specific segment and pick the segment.
  3. Click Start export.
  4. When it is ready, click Download CSV file.

The CSV includes email addresses, all custom fields, subscription status and tags.

Troubleshooting

  • “The Email field must be mapped to at least one column.” Map your email column to the EMAIL field.
  • “Each field can only be mapped once.” Two columns point to the same field. Change or remove one.
  • Names show strange characters. Save the file as UTF-8, or pick the right File encoding on the mapping step.
  • An import shows Failed. Download the log, fix the rows it mentions, and click Retry or import again.
